What personal data we collect and why

 When you contact us with an enquiry, we will collect your name and contact details so that we can respond to your query.

 

When you join Defiant Martial Arts Academy as a Student, we will collect the following information from you in order to set up your membership:

  • Name
  • Postal and email addresses
  • Phone number
  • Date of birth
  • Previous martial arts experience/rank

We will also collect credit or debit card information so that we can process your membership.  If you are under 16 years old we will collect this information from your parent or guardian.

We will ask for details of any medical conditions that may affect your ability to train safely, for example epilepsy, asthma, heart conditions, etc. We will also ask for details for an emergency contact, for example your partner or parent.

 

We will treat the information you provide as confidential.

  

Photography and video recording

 We take photographs and videos for training and promotional purposes.  These may be shared on our website and social media channels.  If you do not wish to be included in these images please let us know.

 

CCTV

We operate CCTV throughout public areas of the gym (excluding changing rooms).  We collect this information for health and safety, and security. CCTV footage is retained for three months and is then automatically deleted.  No audio recordings are made.

 

Sharing your personal data

We do not share your personal data unless we are required to do so by law, or if you have given us your explicit consent.

 

Retaining your personal data

If you contact us with an enquiry, we will keep your personal data for six months after our last contact with you.  This is so that we can respond to your enquiry and send you further information if necessary.  

 

We may ask for your consent to retain your information in order to send you further information that we think may be of interest to you.  We will delete your personal information if you ask us to do so.

Whilst you are a Student at the Academy we will continue to store and use your personal data in line with this Privacy Notice. This is so that we can manage your membership.

 

Your data protection rights

You have a number of rights under data protection law. These include:

  • Your right of access – You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. If you make a request, we must respond to you without undue delay and in any event within one month.
